3 tricks for keeping your inbox in check

Friday, March 25th, 2011

Your email inbox is likely one of your primary connections to the world but, if it goes unattended for just one day, it can quickly become overwhelming. Missing emails can mean overlooking important details or missing out on opportunities. Luckily, there are several tricks that can help prevent your inbox from becoming untamable. Here are three of them:

1. Set up folders

Setting up folders, tags or labels in your inbox allows your email client to categorize emails automatically. You can commonly set filters according to email address, so emails from your Aunt Hilda will go into their own folder and won’t clutter your inbox.

With this feature, trivial emails are filtered out and don’t take up essential space in your inbox. It’s pretty easy to set this up and since this feature is available in most email clients and services, it is likely available to you.

2. Enable conversation view

Enabling conversation (or “threaded”) view in your email client minimizes the number of visible emails in your inbox. Emails that are related to one conversation will all be found under one “email” instead of taking up multiple spots in your inbox.

With conversation view, when you address one email in a conversation, you are taking care of them all – a straightforward solution to a cluttered inbox.

3. If it will take less than 5 minutes to address, deal with it right away

Any time an email will take five minutes or less to tackle, it’s counterproductive to put it off. If it must be done, it will have to either be done now or later, so why not do it now? As you continue this habit, these basic emails will start taking even less time and it will become like second nature to address emails as they arrive.

These tips are only three of many that can help simplify your email inbox. They’re easy ways to manage your email and help make it less stressful, so why not try them out?

What are the benefits and drawbacks of wireless mice?

Wednesday, March 23rd, 2011

Wired or wireless mice? This is a debate that’s been going on for years now, and there is still no definitive winner. The truth is, there are advantages to each type of mouse, and it’s all about which attributes matter most to you.

Wired

The advantages of wired mice are plentiful. Some of the major ones include:

  • Extended life expectancy
  • Faster response time
  • More cost efficient
  • Better accuracy – a big pro for gamers
  • No possibility of inadvertently gaining control of someone else’s computer

Some of the major drawbacks to wired mice include less freedom to roam and just a lack of convenience.

Wireless

Despite the occasional dead batteries, wireless mice have several strong points. They offer a level of convenience that can’t be reached with a wired mouse, no matter how long the cord is. Some of the key benefits include:

  • Greater freedom – another favorite feature among gamers, who often control their TVs from the couch
  • Improvements in response time and accuracy
  • Fewer cords
  • Smoother movement due to the lack of a cord

Although there are plenty of advantages to wireless mice, there are several disadvantages as well. The two biggest concerns tend to be the occasional bad signal and dead batteries – both of which can be extremely frustrating if they come at the wrong time.

In general, the decision between wireless and wired mice is all about preference. If you require accuracy and fast response times, a wired mouse would most likely suit you best. If you’re someone who likes to work from the couch or other untraditional spots, you may enjoy the convenience and freedom of a wireless mouse. There are plenty of great wired as well as wireless options, so you can’t go wrong either way.

How Google Docs can increase productivity

Friday, March 18th, 2011

Google Docs is a cool tool that a number of us are familiar with. Its business uses are constantly expanding, and the most recent updates only increase its business benefits.

Google Docs’ commenting feature just received a big overhaul and the results seem promising. Some of the biggest changes include:

  • Timestamps and profile pictures on comments
  • The ability to edit and resolve comments
  • Implementation of email notifications via @mentions

The email notifications feature is by far the most convenient of these upgrades as they let you bring new people into the discussion as needed.

Since the notification will contain the text of the comment, the team member does not need to have immediate access to Google Docs. He or she can simply reply to the email notification, and it will show up in the discussion.

These new features also make it easier to see what has been done and what still needs to be done. Instead of simply removing a comment once edits have been made on the document, you can now mark it as resolved. This allows you to go back and view which changes were made and if they were, in fact, done correctly.

Google Docs and tools like it make it easier to work on a distributed team. Staying in sync is easier as everybody’s version of the document is identical, so there is far less confusion around changes.

Having several people working on a document at the same time from different locations can get quite confusing. It’s easy to lose track of edits and it can be difficult to make sure you’re incorporating everyone’s input. These collaboration tools make the process much more streamlined.
